Our Team Double-ClickSM Virtual Assistants and Core Team Members have wonderful QuickTips to share with our contractors.  Thank you to all who contributed.

“Stay on top of your email. It can quickly become a bottomless pit if you don’t. I make sure that I have no “unread” emails at the end of each day. My little trick for unanswered emails is that I never let my inbox get more full than one screen (if that scroll bar starts to appear, then I know that I need to catch up on work).”

“I would also like to encourage the VA’s to remember they are not alone. They may work virtually but [I would] encourage them to use their flexibility to go out for coffee with a girlfriend or take a break and go for a walk to the park with their kids. I talk to some who are so eager to work that they don’t set appropriate boundaries and then they get burnt out. [You] can allow [yourselves] to have fun and also make their work their play!”

Instead if sending large files via email to a client, consider using a free file transfer programs such as www.beamfile.com; www.sendthisfile.com; or www.dropload.com.  Another QuickTip is to create documents in Word, and then make them into a .pdf file using www.pdf995.com .  Stacy also suggests, “…keeping all of your contact information outside of your computer for emergencies in the event your computer crashes.”  This can keep a VA on track and reduce downtime.

“Taking [time] to do a load of laundry or pick up a room or some other quick chore around the house is a great way to take a break and to make sure your house doesn’t turn into a disaster area!”

Consider taking any training offered which does not necessarily have to be through Team Double-ClickSM, i.e., Imprev, Visualtour, etc.  Although the training would be at your own expense this knowledge can be very helpful in the long run as this would be yet another service you can offer a client.  “I have taken many of these classes and they usually run $25.00-$75.00 per class.  The class usually lasts about 2 hrs or so but I have found that it is helpful to be able to say that I at least have some knowledge of the program.”

Shawn adds, “If you change your address, phone number or email let TDC know asap. If you are unsure of a procedure contact your VSR asap…that is what they are here for. If you aren’t sure who your VSR is (newbie) or have other questions…contact HR-we will send you to the right person.  Don’t forget to backup your files. Communicate as much as you can with your client!”
